Phoenix Earth Food Coop Board Meetingbr> November 16, 2016

Location: Main Branch Toledo Lucas County Public Library, 325 Michigan St, Toledo, OH 43604.

Board Members Present: Anita Levin, Sandor Halasz, Hermann von Grafenstein, Tiffany Hubbell, Adrienne Armstrong, Claudia Cooper, Shelly Boraby

Absent: Alyx Kendzierski, Sean Fitzgerald, General Manager

The meeting was called to order at 6:49 PM by President Hermann von Grafenstein.

  1. Approval of the Minutes. MSC to approve the minutes of the 10/26/16 meeting as corrected, unanimously.
  2. Review of Action Items:

  3. Coop and National Elections — Discussed possible responses from Board, including reminder about the mission and values of the Coop. Decided by consensus that Board will not comment at this time.
  4. General Manager Report— Reviewed GM Report as distributed. Approved as distributed by consensus.
  5. Financial Reports —Reviewed as circulated. Reiterated the need for Board and members to shop at the Coop as much as possible. Increasing sales needs to be our first objective.
  6. General Manager Evaluation— In progress. Discussed Sean's self-evaluation. Next step is Staff Evaluation. Hermann will send form with self addressed stamped envelope to staff to be returned to President by 12/16/16 before next Board Mtg.
  7. Outreach— Committee met 11/15/16. Business cards are done and distributed to Board members at this meeting. Lit drop is scheduled for Sunday 11/20/16 in coop neighborhood. Hermann has half-sheet fliers. Discussed possibility of coop attending Holiday Bazaars. Too late for this year and a very busy time of year.To consider in future. Signage including a building wrap discussed and being investigated, including fundraising to cover the costs. Hermann introduced Board to using Drop Box. Adrienne joined a Vegan Meet-up group and will publicize the Coop there.

  1. Leah — contact Mark Mockensturm for accounting issues on Jackson loan settlement & enquire about financial review in lieu of audit — Leah was unable to reach Mark. Anita will follow up with Mark
  2. Hermann — initiate Executive Committee Review of General Manager — IN PROGRESS

  4. Hermann & Adrienne — Revisit Outreach events/calendar at next Outreach Mtg scheduled for 12/20/16 at 1 PM Potluck lunch at Hermann’s
