Phoenix Earth Food Coop Board Meeting
October 26, 2016

Location: Main Branch Toledo Lucas County Public Library, 325 Michigan St, Toledo, OH 43604.

Board Members Present: Tom Fine, Anita Levin, Sandor Halasz, Alyx Kendzierski, Hermann von Grafenstein, Tiffany Hubbell, Adrian Armstrong, Sean Fitzgerald, General Manager

Member: Caitlin Cousino Absent: Shelly Boraby, Claudia Cooper

The meeting was called to order at 6:45 PM by President Hermann von Grafenstein.

1. Approval of the Minutes. MSC to approve the minutes of the 9/28/16 meeting as circulated, unanimously. Alyx will resend minutes from 8/24/16 meeting.

Sean/Leah — establish a recurring/auto pay/electronic transfer mechanism for regular bills thru banking vehicle or other process — DONE

Shelley/Sandor/Hermann — compile & contact a list of volunteers to distribute coop fliers in coop neighborhood — TO BE COMPLETED BY 11/20/16

Hermann — Circulate Annual Mtg Agenda by email — DONE

Hermann — Send reminder email to coop members 15 DAYS AND 5 DAYS OUT  from Annual Mtg — DONE

Morgan — Make a Facebook announcement and event for Annual Meeting — DONE

  1. Review of Annual Meeting — Members like that the coop is personal, local, member-owned shopping. Delivery concept was supported with ideas to partner with Kahle Center and other Senior centers including Area Office on Aging. Discussed making the Coop a "food Hub" but feel the focus right now has to be on our retail business as the viability of the coop is at stake. Suggestions to display list of growers more prominently. Improve exterior signage.
  2. Outreach —Flier is complete and circulated. Ready for leafleting in Coop neighborhood on 11/20/16 at noon. Meet at the Coop. Hermann will print 300 fliers for 11/20/16. Adrienne reported on the denial of the grant application. Discussed ways to be in a better position next granting cycle. Also discussed various signage options to increase visibility from street. Discussed roof repair options.
  3. Financial Reports —Reviewed as circulated. Reiterated the need for Board and members to shop at the Coop as much as possible. Increasing sales needs to be objective.
  4. Election of Officers by acclamation. Same slate as 2015-16. Adrienne expressed an interest in Presidency in the future.
