Phoenix Earth Food Coop Board Meeting
June 28, 2017

Location: Main Branch Toledo Lucas County Public Library, 325 Michigan St, Toledo, OH 43604.

President Hermann von Grafenstein called the meeting to order at 6:40 PM.

  1. Approval of the Minutes. Minutes for May 24, 2017, were approved as distributed by acting secretary Tiffany Hubbell. MSC to approve Minutes.
  2. Review of Action Items: Action Items were reviewed. See end of Minutes.
  3. General Manager Report - Reviewed GM Report as circulated. Approved as distributed by consensus. General Manager Sean Fitzgerald was not present tonight.
  4. Financial Reports –Reviewed as circulated by Tom Fine. Reiterated the need for Board and members to shop at the Coop as much as possible. Increasing sales needs to be our first objective. Cash-flow pressures remain. We discussed the pros and cons of buying the building. MSC for Tom Fine to approach Royce with our interest and ascertain the cost of an appraisal on the building.
  5. Accounting advice – still pending.
  6. Outreach– Adrienne reported events needing volunteer coverage. We had a good response from the OWE Festival in early June 2017. Use Doodle polls to sign up to volunteer. Bake Sale set for July 23, 2017 at Coop. We need donations of baked goods and sales from Board and Members.
  7. Specialty Programs

    Wild Foods program proceeding. Produce is entering the store now.

    Coop Delivers - on website, letter announcing is out

    Need to promote Gift Certificates

    Need to promote buying Club idea to increase pre orders

    Sean is contacting restaurants for larger volume orders

    Aquaponics – continues

    Coop Delivers – Not popular. Will consider curbside pick-up as an option.

  8. Annual Meeting – Anita will get a date and meeting room for this to happen in October. Board members and General Manager will recruit new members. Need to advertise need for new board members and date of annual meeting thru social media and at store.
  9. Member Potluck – Potluck at Hermann’s July 2, 2017 4 PM. Adrienne will set up a potluck for September 2017.
  10. New Business – Adrienne announced the startup of her new cupcake business and she will be talking to Sean GM about selling her vegan sweet treats at the Coop. (Addie’s Sweet Treats)

  3. Hermann – Will remind GM to suggest staff ask customers if they found everything they wanted and keep a list of those items that are not in the store.
  4. Tom – Will get cost of building appraisal and discuss our interest in buying the building with Royce
  5. Adrienne – working on Coop Bake Sale for 7/23/17 1PM – sell out. Board and members are encouraged to participate.
  6. Anita –find date and location for Annual mtg in October
  7. All Board Members & GM - Seek Board members, put up sign in Coop and advertise on social media
  8. Adrienne – Plan September member potluck
